As the data controller, we decide how and why your personal data is used. If you have any questions about this policy or how we handle your data, contact us using the details above.
2. What information we collect
When you contact us or fill in a form on our website:
- Your name
- Your business or care home name
- Your email address
- Your phone number
- Your town or area (if you choose to include it)
- Any notes or details you include in your message
Automatically, when you visit our website:
- Your IP address — recorded by our web server as standard (this is true of almost all websites)
- A temporary session ID — used only to prevent spam; it disappears when you close your browser
We do not collect payment details, health records, or any other sensitive personal data through this website. We do not knowingly collect data from or about children.
3. Why we use your information and our legal basis
Under UK data protection law, we need a lawful reason to use your personal information. Here is what we use it for and why we are permitted to do so:
| What we use it for | Our lawful basis |
|---|---|
| Responding to your enquiry | Legitimate interests — it is reasonable to reply to someone who has contacted a business |
| Providing a quote or arranging a service visit | Pre-contractual steps / Contract performance — taking steps before or during a service agreement |
| Keeping records of inspections and services carried out | Legal obligation (LOLER regulations require records to be maintained) and Legitimate interests (standard business record-keeping) |
| Protecting the website from spam and abuse | Legitimate interests — keeping our systems secure and available |
We do not use automated decision-making or profiling.
4. How long we keep your information
We do not keep your data longer than we need to.
| Type of data | How long we keep it |
|---|---|
| Enquiry data (where no service took place) | Up to 2 years, then deleted |
| Service and inspection records | Up to 7 years — standard UK business, tax, insurance, and regulatory requirement |
| Server logs (including IP addresses) | Up to 30 days |
We review what we hold periodically and delete anything we no longer need.
5. Who we share your information with
We do not sell your data. We do not share it for advertising or marketing purposes.
We may share your information with the following in order to operate our business:
- Our email and web hosting provider — to send, receive, and store messages you send us. Data is processed in the UK.
- Streamline by GCOM (gcom.co.uk) — our job management and CRM system, used to record call-back requests and service bookings. Data is processed in the UK.
- Ahrefs Pte. Ltd. (ahrefs.com) — we use Ahrefs Analytics to measure website traffic. Ahrefs processes aggregated, anonymous traffic data (page views and referrer information) on servers in Singapore. This data does not identify individual visitors. See ahrefs.com/privacy ↗.
- Legal or regulatory authorities — if we are required by law, court order, or regulation to disclose information about you.
We require any third party that handles your data on our behalf to keep it confidential, use it only for the agreed purpose, and maintain appropriate security measures.
6. Cookies and tracking
- One session cookie — used to prevent spam form submissions. It holds a temporary ID and expires when you close your browser. This is strictly necessary for the site to function and does not require your consent.
- No advertising or tracking cookies — we do not use Google Analytics, Meta Pixel, or any advertising network scripts. We do not build profiles of individual visitors or use data for advertising purposes.
- Ahrefs Analytics — we use Ahrefs Analytics (analytics.ahrefs.com) to measure overall page traffic and understand which pages are visited. Ahrefs Analytics is a cookieless analytics tool: it does not set cookies, does not track individual users across sessions, and does not share data with advertising networks. The data it collects (page views, referrers, approximate geographic region) is used solely to help us improve this website. Ahrefs is a third-party service based in Singapore; their privacy policy is available at ahrefs.com/privacy.
7. How we keep your data safe
- Our website is served over HTTPS — your connection is encrypted.
- Contact forms are validated and protected against automated spam and abuse.
- Enquiries go directly to our inbox — we do not store them in an internet-facing database.
- Access to personal information is limited to authorised personnel only.
- We keep our software and systems up to date.
No method of transmitting data over the internet is 100% secure. If you have concerns, you are always welcome to contact us by phone instead.
8. Your rights
Under UK data protection law, you have the following rights. To exercise any of them, contact us at support@caresure.uk or call 0330 133 5131. We will respond within one month and will not charge you.
To know how your data is used. This policy fulfils that right.
To request a copy of the personal data we hold about you (a Subject Access Request).
To ask us to correct information that is wrong or incomplete.
To ask us to delete your data. We will do so unless we are legally required to keep it (e.g. LOLER inspection records).
To ask us to limit how we use your data in certain circumstances.
To receive your data in a structured, machine-readable format where we rely on consent or contract as our legal basis.
To object to processing based on legitimate interests. We will stop unless we have a compelling reason to continue.
We do not make automated decisions about you, but you can contact us if you have concerns.
9. Children
Our services are aimed at businesses and professionals. We do not knowingly collect personal data from anyone under the age of 18. If you believe we have inadvertently received a child's information, please contact us and we will delete it promptly.
10. International data transfers
Most personal information you provide — including enquiry details and service records — is processed within the United Kingdom.
The exception is Ahrefs Analytics, which processes aggregated, anonymous website traffic data (page views and referrer information) on servers operated by Ahrefs Pte. Ltd. in Singapore. This data does not identify individual visitors and is not personal data under UK GDPR. Ahrefs is described in more detail in Section 5 and Section 6 above.

If you are unhappy with how we have handled your data, please contact us first — we would like the chance to put things right.

If you are still not satisfied after contacting us, you have the right to complain to the Information Commissioner's Office (ICO), the UK's independent data protection authority:
